We fulfill orders both for products and materials for clients who require pick and pack for consumer and distributor orders. Karol also works with those clients who require case lot and bulk order fulfillment for distributors, retail chains, or non-profit fulfillment for chapters and events.

While we do handle ongoing fulfillment based on agreements or contracts for those clients with daily, monthly, and annual requirements, Karol also works with those looking for just one-time or one-shot project fulfillment. Often, the one-shot is a special mailing of a promotional product or DVD/CD or a marketing campaign for either a corporation or a non-profit.

Karol offers customer service hours from 8:00 a.m. to 6:00 p.m. EST Monday through Friday with a full time staff in our facility. From taking a phone order directly to helping a client's customer on their cart to tracing orders and assisting in returns, our staff is knowledgeable and courteous as if the customer calling is one of our own customers.
Karol also can provide automatic email notifications to customers with order acknowledgements (when order is placed); process confirmations (when order is in the warehouse); and shipping confirmation with tracking/confirmation number and link to the carrier.
Shopping Cart Set-Up
Karol works both with e-commerce shopping cart vendors as well as web designers creating custom carts that will be uploading files or integrating with Karol’s software. Karol can accept XML files, CSV files, and web services files.
For some clients Karol creates a shopping cart with a link to our client's website and we are able to imitate the look and feel of our client's website home pages through color and design.
Real Time Data Access
Our clients have 24/7 access to all their data in real time in our Order Management System to review and to run reports with the standard concerns normally being order status, inventory, and marketing.
Reports can be run and/or viewed in the following formats: Crystal Reports, Excel, HTML, PDF, and Rich Text. Clients can run their reports at any time or automatically schedule timed reports to be delivered to them.
Pick & Pack
Our clients range from having 1 to over 3500 skus in our warehouse, either with bar codes or with item numbers. Karol uses two staff members for each order as one staff member picks while a second staff member packs. We not only concern ourselves with the correct items picked, but also insure that each package is professionally packed for protection and presentation.
Although much of our pick & pack services are for picking items from shelves where one or two of each item is the norm we also offer case/carton lot fulfillment for either full or mixed cases.
Karol ships via USPS, UPS, and FedEx on a daily basis and LTL shipments when required. Karol will advise clients as to what options may be the most appropriate depending upon service and pricing criteria.
Certainly one of the most critical concerns in outsourcing fulfillment is inventory control for all organizations, and the following is the basis of our inventory control:
- Prompt Physical Check-In and Receipt into Karol’s Warehouse Management System
- Cycle Counts
- Annual Inventory
- Low Inventory Notifications to Clients and our client reps
- Version/Lot Control
We offer literature kitting and product assembly capabilities to our clients allowing them to have their literature and product parts stored in our facility for special projects for on-going requirements. Although we can kit or build on the fly, often it is more cost effective for our clients to have us prepare a bulk quantity for future orders.
We understand the importance of making sure our clients’ customers returns are processed in a timely manner. The inspecting of the goods and issuing a credit is critical to our clients so that their customers are satisfied even when they send back a product ordered.
Quick Books Integration
This process is done on a client-by-client basis once we have a full understanding of the requirements of our clients. Our staff will work with clients’ accounting requirements to make sure that the data being integrated is exactly what is required for accounting purposes to include inventory, taxes, etc.
For clients who have a need for orders to be shipped on a regular basis, to a customer for products like nutraceutical/ vitamin supplement refills or book of the month programs, Karol’s software allows for scheduling cycles that can either be predefined for offers or by customers when they place their orders.
