Fulfillment FAQ

Does Karol charge a set-up fee?
Normally, no.  However, there are instances when system integration is extensive or special inventory receipt is required.

Is there a minimum fee?
$500 per month. This fee combines all line item service and storage fees utilized for monthly fulfillment delivery. Your invoice will list all service activity (each service line item and quantities) and if activity exceeds $500.00 we extend the service fees originally quoted.

What are some basic service fees?
Our per-minute phone CSR charge is $0.68-.85 based on activity/CSR requirements and we start at $1.35 for first item in order entry from hard copy.

Our pick & pack rates vary but we start at $1.25 for the first item for individually picked orders. Each additional line item is $0.25-0.35 for pick. “Bulk” shipment for all orders with same item(s) are routine and quoted on a per job basis.  

Standard storage is $10.00 per skid per month (4’x4’x4'), $15.00 per Gaylord and $0.85 per square foot for pick shelf space. (Depending on size and girth of your products or materials, 32-64 sku's fit in about 32 to 40 square feet of floor space, on pick shelves 5' to 8' high).

Packing supplies are additional and vary based on product type (cartons, bubble or paper envelope, etc.).  Some clients have particular needs and pay direct to product vendor while we place their supply orders.

Are there any charges that affect my per transaction cost budget?
Some clients require greater back-office support with a fixed monthly fee for management, administration and/or clerical. If you need this type of support, we estimate the number of hours and include it in your quote.

Additional fees might include on-line access, cart maintenance, hosting and data storage. Some clients retain historical data here and we charge per megabyte. On-line access by number of users; cart maintenance as well as hosting is based on size of site.  Any particular requirements like these are quoted as needed.

We bill at $30 per hour for extra services like product assembly, kitting, additional inventory counts, product inspection, carton receipts or other special requests.

Does Karol Media offer any service discounts?
Yes.  We extend discounts based on volume specific and order type parameters.  

Is a contract required?
No, with possible exceptions requiring specific and unique investment to maintain unit-fee billing. For clients who require contracts we comply with acceptable terms.

Do you have a service guarantee?
With Karol Media's 99.85% accuracy it's never been needed. We are human, so though we're not liable for any "loss of business", if we do make that rare mistake it gets fixed at no charge. No fuss.

Industry experience tells us that most fulfillment companies deliver excellent service throughout order cycles. Generally, any differences we've found are responsiveness to client and customer needs and existing fulfillment procedures. 

Certainly applicable technology makes many procedures faster and error-free, but can't easily be adapted from one client to another. Volume and/or revenue in some instances are the only means for a technological solution.  This is where you may need that “yet-to-exist” procedure with a fulfillment company that is able to adapt.

Human intervention in customer service and order delivery should be evaluated for your situation. Some transactions simply don't have a means to provide your customer’s need without an ad hoc, intuitive solution. That's what Karol Media provides!

Can Karol process orders with my software?
Yes. For one client we log onto their web hosted application and our CSR’s and data entry personnel process orders by phone and hard copy.

And beyond downloads, Karol has administrative access to client shopping carts to process returns and help client customers process their orders.

Internet access and browser-based software allow Karol staff to process and service orders. We do know it is slower to enter orders and not all software is developed with order management in mind. With some discussion we identify the software and know which contributes to efficient back-end procedures.

Do you have the right staff for our special needs and projects?
Yes. Depending on requirements, we offer the staff member best suited to your project. Many times it's a CSR already hands-on with your business and customer needs.

What other back-end services does Karol provide?
Karol handles product assembly, shrinkwrap, garment fold & bag, carton barcoding, product barcoding, kitting (kit-to-ship and kit-to-stock), product returns, inspection and refurb as well as CD/DVD duplication, packaging and printing.

What payment tenders are accepted?
Pre-paid (check or credit card), customer billing (AR), PayPal and Authorize.net accounts.

How much storage capacity is in the warehouse?
We can store 1 to 1,000 plus skids and can dedicate up to 5,000 square feet for pick shelves if required. Some accounts do not require shelf use when we pick from warehouse skid locations.

How secure is your facility?
Karol's facility is up to date with lock-restricted access for visitors and vendors without registration. A complete off-time security system is set by management who also patrol the work site during the 12-hour daily schedule. All systems and databases require authorized lock access.
 
What parcel carriers are available through Karol?
FedEx, UPS, USPS and LTL. All are routinely used according to instructions and/or best method.

Karol is truly a multi-carrier service bureau providing best cost solutions for diverse fulfillment needs. We are glad to discuss service-to-cost factors for each carrier. From overnight and international to media mail and library rate (many projects have pre-sort discounts), we find the best solution or provide details for your evaluation.

Does Karol extend discounts to its clients with applicable carriers?
Yes, we extend a portion of any discount received based on our total volume per carrier. 

Can we use our own carrier account?
Yes, though we may be able to extend a better price with our volume discounts. Other clients have pre-determined relationships they simply must keep and that's fine too.

How many orders can Karol handle?
This normally requires some talk. Let's take a look at some examples. Some clients ship 30,000 tendered orders per year with up to 3,000 sku’s. A typical account averages 10-600 orders per day. Other accounts with non-tendered orders and up to 2,000 customers get it all done in one day.

What is your schedule of operation?
We're open and working on your orders from 8:00am to 8:00pm EST M-F. Our facility is closed on major holidays.
